In the Know with Procurement

The Procurement Department wants you to know the ins and outs that will make the Procurement process run smoother and quicker for all of us. We have been working hard by providing training to help departments learn more about Procurement.

Four different courses have/will be offered: 1) Contract Administration, 2) General Procurement, 3) Synergen Procurement, and 4) Specifications Development for Materials and Services.

Contract Administration

This training was held in April 2007 and presented by Harry Lewis. Approximately 150 people attended the two sessions. This course covered how to process a Departmental Contract through the execution, and if appropriate, into the wonderful world of Synergen.

General Procurement

This training has been provided annually since 2005. This year's updated version provided an additional five sessions from October through December 2007. This course covered a summary of the Procurement Code, User and Procurement Roles & Responsibilities, basic specifications and addressed many typical questions that departments have about the Procurement Code, Policy, Procedures and processes. Approximately 140 employees attended these trainings. Hazel Houston and Brenda Wilson did a wonderful job!

Synergen Procurement

Mary Jo Furphy will conduct this training. Six sessions are currently scheduled during the month of January 2008. This course's targeted audience is Synergen users that work with Requisitions and Blanket Purchase Orders and employees that process departmental contracts. The objectives of this course are to acquire a clearer understanding of how the Synergen Procurement processes work and how to distinguish between Procurement generated Contracts and contracts that Departments develop under Small Purchase, Professional Services or Delegated Authority.

Specifications Development (Materials & Services)

Wendy French will conduct this training. Four sessions during January and February 2008 are presently scheduled. This course is relevant to all Departments and is intended to facilitate the development of comprehensive specifications for materials and services that will be used to solicit respondents and define the critical contract performance requirements. Comprehensive specifications will expedite the procurement process, improve the results of the process, improve supplier performance and minimize subsequent supplier issues.

Bicycle and Pedestrian New Safe Passing PSA

Check out our new safe passing PSA on our website, www.BikePed.Pima.gov. There is also a new issue of our Walkin' and Rollin' newsletter and an updated Share the Road pocket guide (printed copies of the newsletter or the guide are available upon request; digital files of the STR guide are provided free to jurisdictions who would like to create a similar guide).

In other news, a $500,000 Transportation Enhancement grant for a middle school bike and pedestrian education program was recently awarded to Pima County and the City of Tucson. Pima County is adding over $250,000 to this program which is intended to go for three years and, if possible, be extended beyond that—you can see a pdf copy of our TE proposal on the website.

January will see us rolling out a new Bike Ambassadors program with 12 to 20 part-time bike ambassadors assisting us with our safety and education outreach and our Safe Routes to School program.
