Pima County eContracts


Welcome to the Pima County Electronic Contracts System!


The eContracts System that will allow you and your staff to view contracts on line, track payments to date, and print various reports.

The database includes all active contracts. Basic contract data is entered into the database when the contract is received in Procurement. The contract itself however cannot be viewed on-line, nor can Finance post payments against the contract until the Chair of the Board of Supervisors or the Procurement Director has signed the contract.

 

Please Note

The contract database also has some older contracts that may no longer be active. To populate the database, we downloaded from the old contract system all contracts with an expiration date after July 1, 2001 and any contracts or amendment without a termination date. If research determines that a contract or amendment without a term date is no longer active/valid, it will be removed from the system. This process will occur over the next few months.

 

Every attempt has been made to assure the accuracy of the data. However, it is highly likely that there are errors considering the data has been compiled from various sources ranging from mainframe data files to manual files. On the website, you will find a feedback form which you should use to notify us if you have questions regarding the data.

One note regarding the payment information. The payment information is recorded in the contracts database when the claim information is entered into the Financial Management System (FMS). That does not indicate that the warrant has been issued to the vendor. When a claim is processed in FMS, we establish a release date that maximizes active management of the County's cash resources.
